1. Introduction
Inception Nutrition Limited ("we", "us", "our") is a precision nutrition and body composition coaching practice based in Christchurch, New Zealand. Inception Nutrition is part of the Inception Group, alongside Inception Gym and Inception Labs. This privacy policy explains how we handle the personal information we collect through our website, our coaching services, and our supplement business.
We comply with the New Zealand Privacy Act 2020 and the thirteen Information Privacy Principles set out in that Act.

2. What information we collect
2.1 Account information
Name, email address, phone number, postal address, and billing details when you sign up for a programme, purchase a product, or enquire through the site.
2.2 Health information
Body composition scan data, self-reported health context, dietary intake, training context, lifestyle context (sleep, stress, recovery), and any bloodwork or test results you choose to share with us. This information is treated as sensitive personal information. See section 10 for how we handle it.
2.3 Usage data
Information collected automatically when you visit the site, including IP address, device type, browser, pages viewed, and referral source. We use this for analytics and to improve the site. See section 8 on cookies and analytics.
2.4 Communications
Emails, enquiry form submissions, intake assistant transcripts, coaching messages, and any other correspondence you send us. We keep a record of these so we can respond and so we have continuity of service.
3. How we use it
- To deliver coaching programmes and supplement orders.
- To generate personalised reports, meal plans, training plans, and protocol adjustments.
- To improve our methodology. Where we use client data for this purpose, it is anonymised and used in aggregate only.
- To communicate with you about your programme, your account, and operational matters.
- To send marketing emails where you have opted in. You can opt out at any time using the unsubscribe link in any marketing email.
- For billing, accounting, and tax purposes.
- To meet our legal obligations and to protect our legal interests.
4. Who we share it with
- Our coaching team, including Inception Nutrition staff and contracted coaches who are bound by confidentiality.
- Service providers we use to run the business, including hosting, email delivery, payment processing, scheduling, and analytics. These providers are bound by data processing agreements and may only use your information to deliver their service to us.
- Legal authorities where we are legally required to disclose information, for example under a court order or in response to a regulatory request.
We do not sell your personal information to anyone, ever.
5. How long we keep it
- Active client data is retained for the duration of your engagement with us plus seven years, in line with New Zealand tax and business record requirements.
- Marketing consent and contact details for marketing purposes are kept until you withdraw consent.
- Inactive accounts are deleted on request. Otherwise we follow the standard seven-year retention cycle and then delete or anonymise the records.
6. Your rights under the Privacy Act 2020
- The right to access the personal information we hold about you.
- The right to ask us to correct it if it is wrong.
- The right to withdraw your consent to marketing communications at any time.
- The right to complain to the Office of the Privacy Commissioner if you believe we have mishandled your information. Contact details are on privacy.org.nz.
To exercise any of these rights, contact us using the details in section 13. We will respond within 20 working days, in line with the Privacy Act.
7. How we protect your information
We take reasonable technical and organisational steps to protect your information from loss, misuse, unauthorised access, disclosure, alteration, and destruction. Access to client health information is limited to staff and contractors who need it to deliver your programme. No system is perfectly secure, and we cannot guarantee absolute security, but we treat the responsibility seriously.
8. Cookies and analytics
We use cookies and similar technologies to keep the site working, to understand how it is used, and where you have consented, to support marketing.
- Essential cookies. Required for core site function, such as remembering your session. These cannot be turned off.
- Analytics cookies. We use Vercel Analytics to understand how visitors use the site. The data is aggregated and does not identify you personally.
- Marketing cookies. Only set with your consent. You can decline these without affecting your access to the site.
Most browsers let you block or delete cookies through the browser settings. If you block essential cookies, parts of the site may not work as intended.
9. Cross-border data transfers
Some of the service providers we use to host the site, deliver emails, process payments, and store records operate from outside New Zealand. Where this is the case, we take reasonable steps to ensure that your information is protected to a comparable standard, in line with Information Privacy Principle 12 of the Privacy Act 2020. By using the site you understand that some processing may occur overseas.
10. Health information specifics
Body composition scans, self-reported health context, dietary logs, training logs, and any bloodwork you provide are sensitive personal information. We treat this category of information with extra care.
- We do not share your health information with third parties outside the service providers listed in section 4 without your explicit consent.
- Where we use client health data to improve our methodology, it is anonymised and used in aggregate only. Individual records are not identifiable in that work.
- We do not provide health information to insurers, employers, or marketers.
- You can request a copy of your health records or ask for them to be deleted at any time, subject to the retention requirements in section 5.
11. Children
Our services are designed for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us and we will delete it.
12. Changes to this policy
We review this policy at least once a year and update it when our practices change or when New Zealand privacy guidance changes. The current version will always be available on this page, with the last updated date at the top. If a change materially affects how we handle your personal information, we will email active clients and prospective clients on our list before the change takes effect.
